How ordering and technical support work
Ordering from Optimus Distributor starts with the three things every buyer asks: price, lead time and stock, answered against a catalogue of 283 products across 30 categories. Our engineers then confirm the specification fits the duty. Quotation, confirmation and delivery follow, across Malaysia including Sabah and Sarawak.
Send your specification
Send whatever you have. A figure number and a quantity is a complete enquiry. So is a photograph of the nameplate, or a schedule line like "DN80 PN16 gate, WCB, flanged, six off". WhatsApp is the fastest route: a photograph settles more than a description. Email, phone and a walk-in at Jalan Tiara 3 all work too. The channels are on the contact page.
At this stage we need two things: which item you mean, and how many. Everything after depends on getting that right. If part is unknown, send the enquiry anyway and mark the gap. An honest gap beats a confident description of the wrong figure.
- Figure number, model, or a photograph of the existing valve
- Size, pressure rating and material if you have them
- Quantity, and whether this is a one-off or a repeat item
- The project or plant it is for, if that affects documentation
- Confirmation of exactly which item we have understood
- Any missing detail flagged before it becomes a wrong order
- An alternative figure if the one you named is superseded
- One named person handling the enquiry end to end
What a complete enquiry contains
Eight details. Send them together and steps two to four collapse into one exchange. Send them piecemeal and every gap becomes another message. Nothing here is unusual: it is what a binding quotation has to state.

Stock, price and lead time
New customers want three things: price, lead time, and whether the items are in stock. This step answers all three together. A good price on something nobody can supply for your date is not an answer.
Stock is checked against our own racks in Subang Jaya, not a supplier's promise. If the item is there, we say so. If it is not, we say that too, and talk about the replenishment route and your date. - The date you need it on site, and how firm that date is
- Whether a partial delivery is useful or it must ship complete
- Any acceptable equivalents, if the exact figure is not critical
- Whether the item is on our racks now, and in what quantity
- A price against the specification as understood
- A lead-time position for anything not held, stated honestly
- A flag if your required date and the supply route do not agree

Engineering review, where the duty needs one
Not every enquiry needs this step. A repeat order for a known figure goes straight to quotation. But when the specification and the duty do not agree (a soft-seated valve on a steam line, a swing check behind a banging pump, a PICV schedule with no differential pressure range), an engineer picks it up.
We do not just sell parts. We sit down with your engineers to get the right solution. It is a short conversation about fluid, pressure, temperature, cycling and what the valve is for. It prevents the two failures we see most: going too cheap and paying in downtime, or over-engineering past what the project needs. Both are avoidable in fifteen minutes.
- The fluid, its temperature and its working pressure
- How often the valve is operated, and by whom or by what
- Any history: what failed before, and how
- P&ID extract, schedule or datasheet if one exists
- A recommended pattern, material and trim for the duty
- The reasoning, so your engineer can check it rather than trust it
- An honest note where a cheaper item would do the job
- A question referred to the principal where the datasheet is silent

Quotation and confirmation
The quotation restates the specification in full: type, size, rating, material, ends, quantity. You approve a description of the item, not just a number. Most disputed deliveries are not price arguments. They are two parties who each meant something slightly different by "DN100 stainless ball valve".
Confirm by purchase order, or in writing if your procurement allows it. From then the order is locked to the quoted specification. Any change (a substituted figure, different ends, a revised quantity) is re-quoted, never assumed. Documentation, minimum orders and payment terms are covered on the FAQ page.

- Any documentation the project requires with the goods
- A quotation stating the full specification, not just a price
- Order acknowledgement against that specification
- Notice in writing if anything on the order has to change
Delivery or collection
We deliver across the country including Sabah and Sarawak. Goods are picked and checked against the order before they leave the floor. A wrong item found in our warehouse costs an hour. The same item found on your site costs a shutdown.
Collection from No. 16, 16A & 18A, Jalan Tiara 3 in Subang Jaya is welcome in office hours: Monday to Friday, 8.30am to 5.00pm, with a lunch break between 1pm and 2pm, closed weekends and public holidays. Tell us when you are coming and the order will be staged at the counter.

The relationship does not end at the delivery note
Optimus Distributor also offers valve testing, maintenance and repair. A valve in service eventually needs attention, and it is easier when the people who supplied it know it. It also changes how we sell. A distributor who will see the valve again has every reason to specify the one that lasts.
Repeat customers settle into a rhythm after the first order: a standing line list, known figures, and a stock position we plan around. The three questions stop being asked because the answers are known. If your list runs mostly on one principal, the KITZ line is the one we hold in the most patterns and sizes.
